Common Causes
- IP address change: your router assigned the printer a new IP address, but Windows still has the old address saved in the port configuration
- Print Spooler service has stopped or crashed — a common issue after Windows updates
- The printer was set to 'Use Printer Offline' mode manually or automatically
- Network connectivity issue between the computer and printer — especially after Wi-Fi password changes
- Driver corruption or driver conflict after a Windows or macOS update
What to Check First
- Open Devices and Printers (Windows) or Printers and Scanners (macOS) and check if your printer is listed. Note whether it says Offline, Ready, or Error.
- Check if your printer shows an IP address on its control panel or settings page. Compare this IP address to the port configuration in Windows — if they do not match, that is the cause.
- In Windows, check if 'Use Printer Offline' is checked — this setting prevents printing even if the printer is on and connected.
- Verify the Print Spooler service is running: go to Services, find Print Spooler, and confirm the status is Running.
- Check that your printer and computer are on the same network (not on guest network vs. main network on different SSIDs).
